Privacy Policy

Updated 19 April 2026

At Insiteful Aust Pty Ltd (ABN: 31 137 538 731), trading as Insiteful and eCommerce Circle, we are committed to protecting your privacy. This Privacy Policy explains how we collect, use, store, disclose, and safeguard your personal information when you visit our websites (including www.insiteful.com.au and www.ecommercecircle.com.au), engage our services, attend our workshops or coaching programs, or communicate with us.

This policy is prepared in accordance with the Australian Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs), the Spam Act 2003 (Cth), the Do Not Call Register Act 2006 (Cth), and the Notifiable Data Breaches (NDB) scheme. By using our websites or providing your details to us, you consent to the practices described in this policy.

Information We Collect

We may collect the following types of personal information:

  • Personal Identification Information: Name, email address, phone number (including mobile), business name, billing and delivery address, ABN, job title, and any other information you voluntarily provide.
  • Communications & Call Data: The content of messages you send us (email, SMS, web chat, social DMs, messaging apps), and — where you have been notified — recordings and transcripts of phone calls, video calls, webinars, and workshops for training, quality, compliance, and service-improvement purposes.
  • Event & Workshop Recordings: Audio, video, and screen recordings of live events, workshops (including our $40K to $400K Formula Workshop™), coaching calls, and webinars in which you participate. We will disclose recording at the start of each event.
  • Payment Information: Billing name and address. Full credit card and bank account details are NOT stored by us — they are handled directly by our PCI-compliant payment processors (e.g. Stripe, PayPal, GoCardless).
  • Non-Personal Information: Browser type, device, IP address, operating system, referral source, pages visited, time on site, and other aggregate usage data.

How We Use Your Information

We use the information we collect to:

  • Provide, operate, deliver, and improve our products, services, coaching programs, and workshops.
  • Respond to enquiries, bookings, support requests, and feedback.
  • Send service-related communications (booking confirmations, account notifications, program updates).
  • Send marketing and promotional communications about our products, services, events, and offers via email, SMS/text message, phone call, messaging apps, and push notifications — where you have given consent or where we are otherwise permitted by law.
  • Conduct outbound phone contact which may be automated, pre-recorded, or delivered using an AI voice for appointment setting, follow-up, reactivation, feedback, and related marketing purposes.
  • Process payments and issue receipts, invoices, and tax documents.
  • Build and serve audiences for digital advertising and remarketing across platforms such as Meta (Facebook/Instagram), Google, TikTok, LinkedIn, and YouTube.
  • Analyse usage and improve user experience.
  • Meet our legal, tax, and regulatory obligations.

Communications, AI Voice & Automated Calls

Where you have provided your contact details and given consent, we may contact you by email, SMS/text message, phone call, or messaging app. Some of our phone outreach is conducted using automated dialling technology, pre-recorded messages, or AI-generated voice. At the start of any such call, the caller will identify themselves as representing Insiteful / eCommerce Circle and, where applicable, disclose that an automated or AI system is being used. Calls may be recorded for training, quality, and compliance purposes; you will be notified at the start of any recorded call.

Message and data rates may apply. Consent is not a condition of any purchase. You can opt out of marketing communications at any time by:

  • Replying STOP to any SMS,
  • Clicking unsubscribe in any email,
  • Asking to be removed during any call (live or automated),
  • Emailing info@insiteful.com.au, or
  • Registering your number on the Australian Do Not Call Register (donotcall.gov.au).

Opt-out requests will be honoured within five business days in accordance with the Spam Act 2003.

Cookies, Pixels & Tracking

Our websites use cookies, web beacons, and tracking pixels to operate, analyse usage, and deliver targeted advertising. These may include:

  • Analytics: Google Analytics, Meta analytics, and similar platforms used to understand how visitors interact with our websites.
  • Advertising & Remarketing Pixels: Meta Pixel (Facebook/Instagram), Google Ads tag, TikTok Pixel, LinkedIn Insight Tag, and similar tools. These allow us to show you relevant ads on those platforms and build “custom” and “lookalike” audiences based on website activity.
  • Functional cookies: Required for site features such as forms, logins, and shopping carts.

You can control cookies through your browser settings and opt out of personalised advertising via your ad-platform preferences (e.g. facebook.com/adpreferences, adssettings.google.com). Disabling cookies may affect site functionality.

Third-Party Service Providers

We use trusted third-party platforms to operate our business, including customer relationship management, email and SMS delivery, AI voice calling, website hosting, payments, scheduling, analytics, and advertising. Our current service providers include (but are not limited to):

  • GoHighLevel / HighLevel Inc. — CRM, email, SMS, Voice AI, and scheduling.
  • Stripe, PayPal, GoCardless or similar — payment processing.
  • Google, Meta, TikTok, LinkedIn — analytics and advertising.
  • WordPress / hosting providers — website infrastructure.

These providers are bound by their own privacy and security obligations. We share the minimum data needed to deliver the service.

Some providers store or process data outside Australia, primarily in the United States and other jurisdictions where they operate infrastructure. By using our services and providing your information, you consent to this overseas transfer. We take reasonable steps to ensure overseas providers handle your information in a manner consistent with the APPs.

Testimonials, Case Studies & Social Content

We may publish client names, photos, video, quotes, and results in testimonials, case studies, social media, and marketing content. We only do so with explicit permission from the individual or business involved. You can withdraw permission at any time by emailing info@insiteful.com.au, and we will remove the content within a reasonable period from our controlled channels (content already shared by third parties may remain beyond our control).

Data Retention

We retain personal information only for as long as needed to provide our services, meet our legal and tax obligations, resolve disputes, and enforce our agreements. Inactive lead and marketing records are typically retained for up to seven years, after which they are deleted or de-identified. Financial records are kept for the minimum period required by Australian tax and corporate law. You may request earlier deletion at any time.

How We Protect Your Information

We implement reasonable administrative, technical, and physical safeguards to protect your information against unauthorised access, alteration, disclosure, or destruction. These include access controls, encryption in transit, secure vendor selection, and staff training. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

Data Breach Notification

If we become aware of a data breach that is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) as required under the Notifiable Data Breaches (NDB) scheme.

Sharing Your Information

We do not sell, rent, or trade your personal information. We may share it with:

  • Service providers and processors (see Third-Party Service Providers) under confidentiality obligations and only for the purposes we direct.
  • Professional advisers (e.g. accountants, lawyers) where necessary.
  • Law enforcement, courts, or regulators where required by law or to protect our legal rights.
